VAULT The mark you’ll see on your email
Information for recipients

You’ve been sent a secure file. Here’s how to know it’s safe to open.

If you’ve received an email with a Vault link, you’re in the right place. Vault is the secure system Australian medical practices and businesses use to share confidential files. This page explains what it is, why you’ve received a link, and how to check it’s genuine before you click — from the company that runs it.

What is Vault

Vault is a secure file-transfer service used by Australian medical practices and businesses to send and receive confidential documents safely. Instead of attaching sensitive files — like medical records, results, or financial paperwork — directly to an email, the sender uploads them to Vault, and you receive a secure link to open them.

This is a safer way to handle private information than an ordinary email attachment, which can be intercepted or accidentally sent to the wrong person. The link you’ve received may be password-protected, and it may expire after a set period. Both are completely normal — and both are there to protect your information.

Why you’ve received this

Someone you deal with has used Vault to send you a file, or to ask you to upload one. In a healthcare setting that’s usually a clinic, GP, specialist, or allied health provider — but Vault is also used by people such as insurers and accountants who handle confidential clinic information.

In almost every case, you’ll be expecting it: a report you asked for, a form you need to complete, or documents you agreed to send. If a Vault link arrives out of the blue from someone you don’t recognise, treat it with the same caution you’d give any unexpected email.
